1. Who we are
This policy applies to AVIR It Pty Ltd (ABN 86 703 571 822, ACN 703 571 822), a company registered in Victoria, and to the website avirittec.online. In this policy, "we", "us" and "our" mean AVIR It Pty Ltd.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), including where those obligations apply to us voluntarily.
2. What personal information we collect
We collect only what we need to respond to you and provide our IT services. This may include:
- your name, email address and suburb or service address;
- the content of your enquiries and our correspondence with you;
- details of the devices, systems and accounts you ask us to work on;
- billing details needed to issue invoices and record payments.
We do not ask for sensitive information as defined in the Privacy Act. Please do not send passwords by email; where we need access to an account, we will agree a safer method with you.
3. How we collect it
We collect personal information directly from you when you email us, use the enquiry form on our contact page (which opens your own email app), or deal with us during a job. If you would rather not identify yourself, you may make a general enquiry using a pseudonym, although we will usually need your name and address to carry out work.
4. How we use it
We use personal information to:
- respond to enquiries and provide quotes;
- arrange and carry out on-site or remote work;
- send written job summaries and invoices;
- meet our legal, tax and record-keeping obligations.
We do not sell personal information and we do not use it for direct marketing without your consent.
5. Information on your devices
IT work can bring us into contact with files, emails and accounts stored on your devices. We access only what is necessary for the agreed task, with your permission, and we do not copy, keep or review your personal files beyond what the task requires. Remote sessions start only when you approve them and you can end them at any time.
6. Disclosure
We may disclose personal information to:
- service providers that support our business, such as email, hosting, accounting and payment providers;
- suppliers or manufacturers, where a warranty claim or part order needs your details and you have agreed;
- professional advisers, or government bodies where required or authorised by law.
7. Overseas disclosure
Some of the email, cloud and hosting services we use may store data on servers outside Australia. Where that happens, we take reasonable steps to choose providers that protect personal information in a way consistent with the APPs.
8. Cookies and website data
Our website does not set advertising or tracking cookies and does not use analytics scripts. Our hosting provider may record standard technical information, such as IP addresses and the pages requested, to deliver the site and protect it from abuse.
9. Security and retention
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. This includes access controls and two-step sign-in on the accounts we use. We keep records only for as long as needed for the purposes above or as required by law, then delete or de-identify them.
10. Access and correction
You may ask for access to the personal information we hold about you, or ask us to correct it, by emailing [email protected]. We will respond within a reasonable time, usually within 30 days. If we refuse a request, we will explain why in writing, except where it would be unreasonable to do so.
11. Complaints
If you believe we have mishandled your personal information, please email [email protected] with the details. We will acknowledge your complaint and aim to resolve it within 30 days.
If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
12. Changes to this policy
We may update this policy from time to time. The current version will always be published on this page with its last-updated date.
